Agenda items 11-13 moved to SC-I meeting

1. Welcome and Apologies

Jane Dreisig opened the meeting by saying that is was a pleasure that so many committee members attended the meeting.

2. Introduction and Information

No comments on this item.

3. Approval of Agenda

The agenda was approved with one correction, item 11: Post Conference in Utrecht. The Summary report was postponed to Committee Meeting II due to the absence of Lourina K. de Voogd. Instead, item 5 on the Agenda for Committee meeting II: IFLA in Buenos Aires 2004, was added.

4. Approval of Minutes of Midwinter meeting minutes, Paris, March 2003

The minutes were approved with two corrections:
  1. In the Chair´s report, section 1, line two, new text: Clara Chu reported that the Children's Section had arranged the workshop with FAIFE, and not with MCULTP.
  2. Item 8. IFLA Conference 2003 in BerlinWorkshop. Susy Tastesen emphasized that both she and Benedikte Kragh-Swartz are officers in charge of the workshop.

5. Chair's Report

Jane Dreisig announced that a brainstorming session arranged by Kay Raseroka would be held in the middle of the week. MCULTP was asked to participate in the session. The theme is: Life long literacy. 1. Advocacy, and 2. How to preserve indigenous knowledge. Both Christine McDonald and Clara M. Chu volunteered to join the session.

6. Secretary's Report

Kirsten Leth Nielsen: The 2002-2003 work schedule was reviewed with no comments. Everybody has done their duty!

7. Financial Report

Susy Tastensen: No written report was available at the meeting, but Susy reported that the financial state of the Section is poor. Currently, the budget consists of 150 euros earmarked for the printing and publishing of the handbook «Tips for Arranging and Hosting an IFLA Satellite Meeting». The financial situation of the section requires that we find ways of saving money. Barbara von Wahlde will clarify if it is possible to stop producing the paper version of the newsletter to save distribution costs. Currently, there is no budget for producing a print version of the newsletter.

It was again stressed that the Section would redouble its allotted budget if there were more than 80 section members. Currently the Section has 73 members, which means that at least 9 members would need to be recruited to profit from the arrangement. It is urgent that all of us do all we can to recruit new members to the section before January 1, 2004.

8. Election of Officers, 2003-20005

The following officers were unanimously elected and appointed.

Chair: Jane Dreisig
Secretary: Kirsten Leth Nielsen
Financial Officer: Susy Tastesen
Editor: Jane Pyper
Information Coordinator: Robert Pestell

Jane Dreisig informed the Committee members about the situation of Kirsten´s status in the Committee.

Jane Pyper will be appointed as a corresponding member of the Section and will serve as Editor of the Newsletter.

Corresponding members:
New corresponding members will be Jane Pyper, Barbara von Wahlde, and Maria Tapaninen. Jane Dreisig will inform Headquarters.

9. Berlin 2003 Conference

9A. The Workshop Programme:
"Multicultural Libraries in German Speaking Countries: Status and Prospects" is scheduled to start 8.30 a.m. and not as announced at 9.00 a.m. The correction will be noted in IFLA Express.

9B. Open Forum:
"Libraries Serving the General Public - Supporting Human Culture and Values". Everything is under control and there were no comments to the programme!

9C. Standing Committee meeting II.:
The meeting will be at the scheduled day and time.

9D. IFLA Booth:
We have a one hour slot to represent and market the Section and our activities. Robert Pestell and Susy Tastesen volunteered to do the job. They will also distribute the flyer promoting the satellite meeting in Stockholm in 2005.

10. Strategic Plan 2003-2005

The strategic plan for the period 2004-2005 was discussed and several minor corrections were suggested. Kirsten Leth Nielsen will make the corrections before October 1, 2003 and distribute the revised version on the listserv. Robert Pestell will publish the plan on the Section's homepage on IFLANET as soon as possible after October 1. Kirsten Leth Nielsen will distribute the plan to other sections of the divisions. This will be done before October 15, 2003.

Applying for funding for minor or major projects

It was suggested that we submit requests for funding to publish the Stockholm conference papers in 2005 and, as a small project, to translate papers from Spanish to English and vice versa from our workshop in Buenos Aires. Jane Dreisig and Kirsten Leth Nielsen will raise this at the next Coordinating Board meeting. Kirsten will prepare a proper application for funding the Oslo project «The Multicultural Library». The application will be discussed at the Midwinter meeting in 2004 and be ready for Buenos Aires.

IFLA in Buenos Aires 2004

Workshop: «From the Global Village to Indigenous Village: the Role of the Library in Preserving The Cultural Identity of Indigenous People.»

Christine McDonald, Carmen Madrid and Clara Chu are officers in charge of the 2004 workshop. A draft of the whole day programme was distributed to all the committee members. The draft is a very good start of the planning and preparation of the workshop. We will have to apply for SI (simultaneous interpretation) for the workshop and also make sure that we have necessary equipment for audio-visual presentations.

11. AOB

11a. Yasuko Hirata distributed the new Japanese translation of Multicultural Communities: Guidelines for Library Services. It was suggested that a study group be established to develop a handbook for library services to multicultural populations. This will be on the agenda at the 2004 midwinter meeting.

11b. Section dinner
Dinner was scheduled to be held after the Open Forum on Tuesday

Respectfully submitted
Kirsten Leth Nielsen
