Report of the activities and Minutes of the Meetings held in Glasgow

17 and 23 August, 2002

As we treated the same subjects in both meetings the report will concern the two meetings at the same time

1. Division business

The conference papers from our session have been sent to IFLA-net.

The Governing Board wants a mid term review of strategic plans; Ruth is responsible for making submitting our review.

We want closer contact to the Maps and Geography section, because we have much in common. We will try not to have our sessions and meetings at the same time and if possible have a participation in each others' section meetings. Maybe we can find some project that we could work together with.

Another idea that came up during the conference was to make something for children about genealogy and local history. Ruth had a talk with committee members from The Children's Library Section and The School Library Section, if anyone wants to work more with this aspect please contact Ruth, as she has some contact addresses.

Speakers have to pay the daily fee, although they have been asked to make a speech at the sessions. We are much against it, and Mel and Ruth participated in the Governing Board of the Special Libraries, where they together with many others talked strongly against it. Our section will continue to talk and work against this decision.

2. Financial report

Janice reported, she has to send proposal for new project for 2003 by the end of September. No one came up with any specific plans, but it is very important that we all think about a good project.

Small projects are for a maximum of 1 year and less than 1360 EUR. Large projects are for 1-4 years, and funds may be more than 1360 EUR.

3. Open session

The Open Session was very successful with about 90 participants, the speakers gave all very good speeches, not at least our keynote speaker Patrick Cadell, his paper has been printed in IFLA journal, and you can see it at the IFLAnet, http://www.ifla.org/V/iflaj/art2804.pdf

During the session an address list of e-mail addresses was passed around resulting in 56 names, Ruth will see to it, that they get this report, tell a bit about the section and refer to the homepage and GENLOC.

4. Study tour

24 registered for the study tour, 17 showed up at the Mitchell Library in the morning. After that we took the train to Edinburgh and visited Register General Office. Janice will write about it to GENLOC.

5. Nomination and election of officers

Elections will take place in Berlin.

6. Guest speakers at the committee meeting on Saturday.

Raymond Madsen from the Family History Library told about World Record Manager, with the purpose of tracking the world records, both what the FHL has in its collection and what is found in other repositories. Raymond Madsen was asked to write about it for GENLOC and the section's newsletter.

Don Martin from The William Patrick Library in Glasgow told about Local Studies Libraries. Library Association guidelines for local studies provisions in public libraries. They had just published a book with guidelines. He was also asked to write for GENLOC and the newsletter. Mel/Ruth will contact them both again.

7. Communications

It was agreed that we will try to send out a newsletter twice a year--one after the conference and one in February-March in time to tell about the activities at the next conference. Harriet is responsible for getting articles for a newsletter in October. Ruth will write a general article about the Glasgow conference, and about the next conference in Berlin, at the same time calling for papers. Janice will write about the Study tour, and Mel will write about the strategic plan for GENLOC and the newsletter.

8. Recruiting new members

At the 9th of August 2002, 14 members of the section were registered, 9 were library associations, 2 Danish libraries, the National Library of Scotland, the Genealogical Society of Utah and Bokhauz, Netherlands (the last one is unknown to this reporter). Furthermore at least 2 more organizations are known to be interested in becoming members, and they may have registered already.

Ruth told about her work recruiting members. She has had a couple of articles in the Danish library Press, and is going to write one more about the Glasgow meetings. She has sent an e-mail to all the Danish libraries and institutions being members of IFLA urging them to become members of the section as well.

It is very important that we all do some active work to recruit new section members, and please remember to share any good ideas.

9. Section activities in Berlin

Ruth suggested that the theme of the conference should be cooperation between archives libraries and museums. It was agreed upon and Ruth volunteered to make a speech about the cooperation seen from a Danish point of view where it is rather a popular theme at the moment, also telling about a concrete project in her region where the archives, libraries and museums of three larger cities have gone together, and put all their digital registrations into one database, which can be searched from the Internet (www.noks.dk). Wang Shan volunteered to make a speech about the Chinese local chronicles and the need for cooperation in China.

Ruth is responsible for the open session finding other speakers and so on. If anyone has any suggestions for a brilliant speaker on the topic, please contact her.

Study tour

Ruth and Mel have talked to Peter Borchardt, Zentral- und Landesbibliothek Berlin, and he has agreed to find and arrange the visits of the Study tour.

10. Section projects

As it has previously been discussed, the section has an idea of making a directory of local and genealogy collections, and K.G. Saur publishing company has expressed interest in publishing it. The committee has to hold further discussions and decide whether it would be possible to make such a directory.

Another project idea is the creation of a database on conference papers on genealogy and local history, we have to make further discussions on that as well.

11. Strategic plan

Mel said that the Governing Board wants completion dates for goals. The draft was discussed and it was agreed that goals 2, 3 and 5 was put together, and that we wanted a new goal: User education. Goal 9 was wrapped out and moved to 1.

Mel is responsible for sending out a revised strategic plan to the committee members, so it can be approved, put on the homepage and published on GENLOC and at the latest brought in the newsletter in February.
