IFLA, the International Federation of Library Associations and Institutions, is the global voice of library and information services. IFLA is an independent, international, non-governmental, not-for-profit organization, promoting libraries and defending their interests in international forums. IFLA provides information specialists throughout the world with a forum for exchange of ideas and promotion of international cooperation, research, and development in all fields of library activity and information services.

IFLA is a membership organisation. Through its members, it represents a large and growing number of library and information professionals from all over the world. Currently IFLA has over 1600 members from 151 countries worldwide. IFLA membership comprises library associations, library institutions, individual librarians, library workers and students. Membership recruitment and membership retention are important strategic issues for IFLA . Currently IFLA is in the process of renewing its membership management system. The new system will be implemented in the first half of 2010.

In your job as Membership Officer you will be responsible for all administrative functions for membership promotion, recruitment, retention, renewal, the preparation of membership reports, and maintenance of the membership database. On a daily basis, you will be communicating with the IFLA membership and people who are interested in IFLA membership, on various membership issues - by email, fax and telephone. You will provide general assistance to IFLA's Communication & Services Director in area's directly concerning IFLA membership. You have working experience in a membership organisation or association and with a membership management system. You are accurate; you have demonstrated strong administrative skills. You possess a good knowledge of Excel and MS office. You have an excellent command of English and preferably of one of the other IFLA languages.

Job Purpose

The Membership Officer / Membership Administrator will be working primarily in the domain of IFLA membership, with a particular focus on IFLA membership administration, and including handling membership inquiries. The main task will be the administration of all aspects of IFLA membership. You will be the first contact person for IFLA members and/or people interested in IFLA membership, on administrative and procedural membership issues. You work in close cooperation with IFLA's Communication & Services Director, the IFLA Finance Officer and the other members of IFLA HQ staff.

Key Areas of Responsibility

  1. Provide general assistance for the IFLA Communication & Services Director in membership related administrative issues;
  2. Maintain accurate and up-to-date membership details in IFLA's membership management system; and on this basis provide monthly and other requested membership statistics and reports, data for financial reconciliation, invoicing, and information for IFLA governance procedures and publications;
  3. Active participation in membership recruitment and retention programmes and initiatives, including taking initiative to propose promotions and opportunities; and acting on membership related enquiries from members and potential members in a timely and satisfactory manner as required by IFLA.
  4. Maintain the membership information in the membership and related sections of the IFLA website;
  5. Participate in the optimizing process and system maintenance of the IFLA membership management system;
  6. Provide supportive assistance to other IFLA staff, including Regional Office or Language Centre staff, as required.

    Responsibilities 1 - 5 are the main responsibilities.

Selection Criteria

  • Good understanding of the role and functions of an international professional member based organization;
  • Extensive experience in members services and a membership management system;
  • Demonstrated good written and oral skills in English, and preferably language skills in one of IFLA's other working languages; proven ability to communicate effectively with speakers with English as a second or other language;
  • Demonstrated administrative ability, showing accuracy, attention to detail, using discretion, and to work pro-actively;
  • Knowledge of Excel, Word and other MS Office working packages; familiarity with website tools;
  • Commitment to participative work practices, workplace diversity and to working effectively with a team;
  • Some experience with and understanding of business financial administration;
  • Minimum HAVO education
